We are seeking a meticulous and experienced Corporate Payroll Specialist to support our payroll operations, financial reporting, and reconciliation processes. This role involves end-to-end payroll processing, preparation of journal entries, account reconciliations, and collaboration with HR and Finance teams to ensure accuracy and compliance. The ideal candidate is detail-oriented, highly confidential, and committed to maintaining the integrity of financial and employee data.

Responsibilities:

  • Process and review monthly payroll for corporate employees.
  • Ensure compliance with federal, state, and local payroll tax regulations.
  • Maintain accurate timekeeping records and resolve time-related discrepancies.
  • Address and resolve employee inquiries related to payroll and timekeeping.
  • Prepare and post payroll-related journal entries to the general ledger.
  • Perform account reconciliations for payroll-related accounts (e.g., wages payable, tax liabilities, benefits).
  • Process accurate and timely year-end reporting when necessary (W-2, W-2c, etc).
  • Clear understanding of companies pay practices/policies.
  • Perform payroll audits.
  • Oversees employment verification and garnishments.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Understand proper taxation of employer paid benefits.
  • Process correct garnishment calculations and ensure compliance.
  • Execute time and attendance processing.
  • Ensure efficient and accurate workflow and the best utilization of systems capabilities / improved processes.
  • Collaborate with the Finance team to support month-end and year-end close processes.
  • Ensure payroll expenses and liabilities are accurately recorded and reported.
  • Maintain documentation for audits, including payroll reports, tax filings, and support schedules.
  • Assist with internal and external audits related to payroll and employee compensation.
  • Stay updated on changes in payroll laws and regulations and apply them appropriately.
  • Partner with HR on employee changes (new hires, terminations, salary changes, benefits).
  • Coordinate with Finance and Accounting for accurate financial reporting.
  • Support process improvement initiatives to enhance payroll accuracy and efficiency.
  • Adjust errors and respond to pay-related questions or issues in a timely manner.
  • Responsible for various internal reporting.
  • Performs other related duties as required and assigned.

Requirements:

  • Associate’s degree in Accounting and/or Finance (Bachelors preferred)
  • Must have a strong background in Accounting
  • 3+ years of payroll experience in a corporate environment.
  • Proficient in SAP, ADP , and Microsoft Excel .
  • Strong understanding of GAAP, payroll accounting, and reconciliation processes.
  • High level of integrity, confidentiality, and professionalism.
  • Excellent analytical, problem-solving, and communication skills.
  • Experience with multi-state payroll and tax filings.
  • Customer Service Driven

  • Ability to communicate with various levels within the organization
